Katitax Request a Pilot

How we work

From first call to ongoing engagement — and what we do to earn access to your client data

Five steps, and you can stop after any of them

Nothing here requires a long-term commitment. The pilot exists so that you are judging real output on a real file rather than taking a sales pitch on trust.

01

Introductory call

A 30-minute video call to understand your firm, your client mix, where the bottleneck actually is, and whether we are a sensible fit. If we are not, we will say so on the call.

02

Paperwork before data

Your NDA and, where required, a subcontractor or data-processing agreement are signed before we are given access to anything. If your firm has its own confidentiality and security requirements, we work to those rather than asking you to accept ours.

03

Pilot on one client file

You pick a single file — ideally a real one with real mess. We complete it as a paid pilot, at an agreed fixed fee, and you review the output against the standard you would apply to your own staff.

04

Review and calibration

We walk through your review notes together and adjust to your firm’s conventions: chart of accounts treatment, working paper format, materiality thresholds, how you want questions raised.

05

Ongoing engagement

Once the output is landing at the standard you want, we agree a recurring arrangement — per client file monthly, hourly for project work, or a dedicated part-time or full-time resource assigned to your firm.

Your clients’ data, handled on your terms

You carry the professional obligation for client confidentiality, so the controls should be yours rather than ours. Our job is to fit inside them.

Access on your terms

We work through named user accounts inside your systems, provisioned and revocable by you. We do not ask for shared credentials, and we do not need administrator rights.

No local data retention

Client records stay in your cloud environment. We do not keep copies of client files on local machines beyond the active engagement, and we return or delete anything transferred on request.

Written confidentiality

NDA as standard, plus subcontractor and data-processing agreements where your jurisdiction or your own client agreements require them. We are comfortable being named as a subprocessor in your client disclosures.

We adapt to your stack

We do not ask partner firms to adopt new software to work with us. If your team already runs it, we will learn it.

Ledgers

QuickBooks Online, Xero

Document capture

Hubdoc, Dext, or your existing intake workflow

Workflow & PM

Karbon, Asana, Trello, or whatever your team already runs

Communication

Email, Slack, Microsoft Teams, Zoom, Google Meet

File exchange

Your SharePoint, Google Drive, Dropbox or secure portal

Spreadsheets

Excel and Google Sheets, to your firm’s working paper templates

Three ways firms engage us

Rates depend on volume, complexity and how much review your firm wants to retain, so we quote after seeing a representative file rather than publishing a price list that would not survive contact with your actual work.

Per client file, monthly

A fixed monthly fee per client file, based on transaction volume and complexity. Predictable for you, and it scales cleanly as you add clients.

Project or hourly

For clean-ups, catch-up work and migrations, where the shape of the job is not known until we are inside the file. Quoted as a range up front, billed against agreed hours.

Dedicated resource

A named accountant assigned to your firm part-time or full-time, working your hours and your systems as an extension of your team.

Start with a call, not a contract.

Thirty minutes, your questions first, and an honest answer on whether we are the right partner for your firm.
